What we collect
We collect personal information only when you choose to give it to us:
- When you submit an enquiry or survey booking form: your name, postcode, email address, phone number and anything you tell us about your home and project.
- When you call, WhatsApp or email us: your contact details and the content of the conversation.
- During a project: the information needed to design, price and deliver your conversion, such as your address, drawings and survey notes.
We do not collect special category data and this website is not intended for children.
How we use your information
- To respond to your enquiry and arrange your free home survey.
- To prepare your proposal and, if you go ahead, deliver your project.
- To keep records we are legally required to hold, such as contracts, guarantees and financial records.
We do not sell your details, and we do not pass them to third-party marketers, finance brokers or affiliated builders. The conversation stays between you and us. We do not add you to a marketing list unless you explicitly ask to hear from us.
Our legal bases
We process your information because it is necessary to take steps at your request before entering into a contract (your enquiry and proposal), to perform a contract (your project), to comply with legal obligations (financial and building records), and where we have a legitimate interest in running our business, such as keeping a record of past enquiries.
Who we share it with
Your information is only shared where the project genuinely requires it:
- Within our group: Pillarstone Operations Group Limited, which delivers some projects.
- Service providers who process data on our behalf, such as our website form provider and email services.
- Project professionals where your build requires them, such as structural engineers, party wall surveyors and Building Control bodies.
- Authorities where the law requires it, such as HMRC or your local planning authority.
How long we keep it
Enquiry details that do not lead to a project are kept for up to two years, then deleted. Project records, contracts and guarantee documentation are kept for the life of the guarantee plus the periods required by law, typically six years after the end of the relevant tax year.
Your rights
Under UK data protection law you have the right to access the information we hold about you, to have it corrected or deleted, to restrict or object to how it is used, and to data portability. To exercise any of these rights, contact us using the details above. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
